Virtual Executive Assistant & Transaction Coordinator

Job Overview:
We are two award-winning, top-producing Realtors based in South Florida with a combined 24 years of experience. As we expand, we’re looking for a driven, resourceful Virtual Executive Assistant to join our team.

Starting with managing our social media, database, and transaction coordination, this position evolves into overseeing business management systems and team members as an Executive Assistant or Operations Manager. The right candidate will have the chance to develop skills that can lead to running a top-producing real estate team or even starting their own business.

Compensation:

Trial Period (90 Days): $200 USD/month base salary + monthly bonuses (based on production).
Post-Trial: Salary negotiable up to $1,000 USD/month + monthly bonuses ($50–$1,200 based on experience and performance).
Work Schedule:

A minimum of 20 hours per week must be worked during U.S. Eastern Standard Time (EST) business hours (9:00 AM – 5:00 PM EST). This ensures adequate time for training, providing instructions, addressing questions, and reviewing tasks or designs.
Additional hours can be worked flexibly outside of business hours as needed.
Responsibilities:

Administrative & Business Support:

Manage social media profiles and online presence.
Input and maintain data in CRM systems and databases.
Track daily activities and generate lead conversion reports.
Monitor emails, respond to requests, and take appropriate action.
Collect, track, and report key business data to ensure optimal performance.
Transaction Coordination (Real Estate):

Communicate with transaction parties and ensure proper documentation.
Schedule inspections, appraisals, walkthroughs, and closings.
Submit documentation for brokerage compliance.
Oversee transaction timelines to ensure smooth completion.
Creative & Strategic Support:

Implement new business initiatives and strategies.
Create marketing materials such as flyers and social media content.
Collaborate on enhancing branding and visibility efforts.
Preferred Skills & Qualifications:

Proficiency in English (speaking, reading, and writing).
Reliable computer/laptop and internet connection.
Organizational skills and attention to detail.
Ability to self-train using provided resources and work independently.
Familiarity with tools like Google Drive, Lofty, FlexMLS, Asana, WhatsApp, and Loom is a plus.
Graphic design and content creation experience is a bonus.
Sales or customer service experience (e.g., ISA or cold calling) is highly desirable.
Bilingual (English and Spanish) is a strong plus.
