Virtual Admin Support - Purchasing

We are looking for a detail-oriented and proactive Virtual Admin Support professional to join our procurement team. The ideal candidate will be responsible for managing inventory levels, overseeing purchase orders, supporting shipment arrangements, and sourcing cost-effective materials. This role requires strong organizational skills and the ability to work independently in a virtual environment.

Key Responsibilities:
• Monitor inventory levels and ensure adequate stock is maintained.
• Track all stages of purchase orders in the system, ensuring they are on schedule and updating ETD based on production lead time provided by suppliers and shipment summaries.
• Support arrangements for incoming shipments.
• Update the latest production lead times from suppliers.
• Draft orders using Cin7 and Microsoft Dynamics.
• Obtain the latest freight quotes from shipping agent.
• Source cost-saving materials from China, such as warehouse packing materials, business cards, and promotional materials.

Requirements:
• Minimum of 2 years of experience in international trading and purchasing.
• Demonstrated knowledge of international purchasing, distribution, and logistics processes and models.
• Ability to work autonomously with a commitment to continuous improvement and innovation.
• Bilingual in English and Chinese preferred but not required.

Working hours:
• Initial three-month with the potential for long-term opportunity.
• Working hours from 9:00 AM to 5:00 PM (+8 time zone), Monday to Friday.
• 15 hours per week for the first four weeks during on-the-job training, increasing to up to 30 hours per week starting from the fifth week after the training period completed.
