Executive Virtual Assistant to the CEO

The Executive Assistant to the CEO will be responsible for providing comprehensive administrative support, managing the CEO’s schedule, coordinating travel arrangements, and handling a wide range of tasks that contribute to the overall efficiency of the company. The ideal candidate will have exceptional communication skills, a strong work ethic, and the ability to maintain confidentiality and exercise discretion when handling sensitive information.

Key Responsibilities:

– Manage and maintain the CEO’s calendar, scheduling meetings, appointments, and events, while ensuring that the CEO is well-prepared and punctual for all engagements.
– Coordinate and manage travel arrangements for the CEO, including booking flights, accommodations, and ground transportation, as well as preparing detailed itineraries.
– Serve as the primary point of contact for internal and external stakeholders on behalf of the CEO, handling correspondence, phone calls, and inquiries in a professional and timely manner.
– Prepare and edit documents, reports, presentations, and correspondence for the CEO, ensuring accuracy and adherence to company standards.
– Assist in the organization and execution of company events and meetings, including preparing agendas, taking minutes, and coordinating logistics.
– Support the CEO in managing special projects and initiatives as needed, conducting research, and providing administrative support.
– Maintain a high level of confidentiality and discretion when handling sensitive information.
– Perform various administrative tasks, such as filing, photocopying, and data entry, to ensure the smooth operation of the executive office.

Qualifications:

– Bachelor’s degree or equivalent experience in a related field.
– A minimum of 3-5 years of experience in an executive support role, preferably for a C-level executive.
– Excellent verbal and written communication skills, with the ability to interact professionally with diverse groups of stakeholders.
– Strong organizational and time management skills, with the ability to prioritize tasks effectively and work under pressure.
– Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
– High level of discretion and confidentiality when dealing with sensitive information.
– Ability to work independently, as well as collaboratively, in a fast-paced, dynamic environment.
– Flexibility and adaptability to changing priorities and demands.
