Executive Assistant for Restaurant Software Company

We are seeking a proactive and highly organized Virtual Executive Assistant to support our team. This role will focus on managing sales follow-ups, handling correspondence, scheduling meetings, and assisting with light bookkeeping. You will be key in ensuring smooth operations by keeping leads engaged, maintaining accurate records, and helping with day-to-day administrative tasks.

Key Responsibilities:
• Contact free trialists via phone, email, and/or messaging to confirm previously scheduled meetings and/or reschedule meetings as necessary.
• Use Apollo, Instagram, and Facebook to enrich lead data and ensure we have accurate contact and company information.
• Schedule demos and client meetings.
• Maintain accurate lead data, update trialist status in Pipedrive, and track follow-ups.
• Handle executive scheduling and calendar management.
• Assist with light bookkeeping tasks, such as tracking expenses, managing invoices, and reconciling accounts.
• Support general administrative tasks to improve workflow efficiency.

Required Skills & Qualifications:
• Strong verbal and written communication skills.
• Willingness to pick up the phone, jump into meetings, and chat online to build rapport.
• Highly organized with strong attention to detail.
• Comfortable using Pipedrive, Intercom, Apollo.io, Instagram, Facebook, and Google Workspace (including Google Meets, Calendar, and Sheets).
• Familiarity with bookkeeping tools like Xero or QuickBooks is a plus.
• Prior experience in SaaS sales, customer success, or the restaurant industry is a huge bonus.
